Summary
The SalesPRO software creates Purchase Orders (POs) when a quote is converted to a sale. For users who have one or more roaming workstations, it is critical that your business practices include a plan for who will be responsible for converting a quote to a sale. If both a roaming workstation user and an in-office user convert the same quote to a sale, multiple POs for the same items can be created.
This can happen in the following situation:
- Quote created on the roaming workstation.
- Quote synced to the main system - it exists on both at this point.
- Roaming Workstation converts to a sale OR the Main converts to a sale, thus creating PO numbers.
- If that change has not been synced to the other system, and the other system also converts the same quote to a sale, duplicate PO numbers will be created.
Note: Although less common, this can also happen if a quote is created on the main, and sent to a roaming workstation.
How to avoid:
- A synced quote should only be converted to a sale on one system - either the main or the roaming.
- Once a synced quote has been converted, please allow adequate time to pass in order for the sale information and purchase orders to be synced. As a reminder, it can take up to 40 minutes during which both computers must be connected to the internet.
- ALWAYS review orders before sending the POs via Online Order Processing.
- ALWAYS review the POs attached to email confirmations from Solatech and from the vendor.
